Your updates keep the system accurate. Timely, honest reporting is the foundation of effective oversight.

As a project owner, you are responsible for maintaining the accuracy of your project record within the Production Management System. You update your project on a defined cadence — the frequency agreed with your coordinator and senior manager. The system uses your updates to generate the portfolio view that senior managers rely on for oversight and decision-making.

Section 01

Your responsibilities

Update your project status and RAG rating on your defined cadence. Your coordinator will confirm the frequency expected for your project.

Provide an honest assessment — the system is only as useful as the information in it. Accurate reporting supports better decisions at every level.

If you are unable to update on time, notify your coordinator in advance. An unannounced overdue update will show as non-compliant in the portfolio view.

You are responsible for your project record. The coordinator manages the portfolio structure, but the content of your project is yours to maintain.

Section 02

Updating your project

Log in using the magic link sent to your registered email address via the landing page at prodman.dynes-insights.com.

Navigate to your project from the Projects view in the dashboard sidebar.

Update the RAG rating — Green, Amber, or Red — to reflect the current status of your project.

Add any relevant notes to support your rating. Notes provide context for your coordinator and senior manager when reviewing the portfolio.

Save the update. The system records the timestamp automatically — this is used to calculate compliance against your cadence.

Section 03

RAG ratings

Green

The project is on track and progressing as expected. No significant concerns at this time.

Amber

There are emerging concerns or risks that require monitoring. Action may be needed if the situation develops.

Red

The project has a significant issue that requires attention or intervention. Escalation is likely needed.

Guidance note

Be consistent in how you apply ratings. If you are unsure whether a situation warrants Amber or Red, discuss it with your coordinator before updating. An unexplained change in rating — particularly to Red — will be visible immediately in the senior manager view.

If you need help

If you are unsure how to update your project, contact your coordinator in the first instance. They can walk you through the process.

If you cannot access the system, contact your coordinator. They will escalate to John Dynes or an approved senior administrator if the issue cannot be resolved directly.

Access issues that cannot be resolved by the coordinator should be escalated to John Dynes or other approved senior administrators.
